What offline really means
When your computer says the printer is offline, it usually means the two have lost touch, not that the printer is broken. The printer may have changed its network address, gone to sleep, or dropped its Wi-Fi connection, so your computer can no longer reach it. Quick fixes that usually work
Begin with a full restart of the printer, the computer, and the router, which re-establishes the connection cleanly. Confirm the printer is powered on and, if wireless, that its network light is steady rather than blinking. On your computer, open the printer settings and make sure the use printer offline option is turned off, since it sometimes gets switched on by accident. Also check that you are printing to the correct printer and not a duplicate entry. These steps bring most printers back online within a few minutes.
When the address keeps changing
A frequent cause of repeated offline messages is a shifting IP address. If your printer's network address changes each time it wakes up, your computer keeps looking in the wrong place and reports it offline. Finding the printer's current IP address and assigning it a fixed one stops this cycle for good. Weak Wi-Fi signal has a similar effect, so moving the printer closer to the router or improving coverage helps.
