What you need first

Scanning relies on more than just the printer. Your all-in-one needs to be connected to the computer by USB or on the same network, and the computer needs the printer's scanning software or a built-in scan tool installed. This is why a printer can print perfectly yet fail to scan when only part of the software is present. On HP printers and other brands, confirming both the connection and the scanning software are in place is the groundwork that makes the rest of the process straightforward.

Scanning from the printer or computer

There are two common ways to scan. From the printer, place your document on the glass or in the feeder, choose the scan option on the panel, select scan to computer, pick your computer from the list, and start. From the computer, open the scanning software or your operating system's built-in scan tool, choose your printer, preview, and save. Both paths let you save as a PDF or image and pick where the file goes. Choosing the method that matches your setup usually gives the smoothest result.

When scanning will not start

If scanning fails, the connection or software is the usual reason. Restart the printer and computer, and confirm the printer is online and reachable, not just powered on. Make sure the scanning software or scan tool is actually installed, since printing alone does not guarantee scanning is set up. The scan to computer feature sometimes needs to be enabled before it will respond. If a firewall or security setting is blocking the link on a network scan, that can quietly stop it too. Reconnecting the printer often restores scanning.

When to get help

Scanning problems can be stubborn, especially when the software is only partly installed or a network setting is blocking the connection. If your printer prints fine but simply will not scan after you have checked the connection and software, the fix is often quicker in person.
